Poster Presentation Guidelines

Please read the following guidelines carefully when preparing your poster.

Poster Printing

All presenting authors attending the conference should personally bring their printed posters to the venue. Alternatively, if you have ordered and paid for a printing service, you can pick up your poster at the conference registration desk (see below for more information about printing services). The times and dates for picking up printed posters will be communicated closer to the conference date. The conference does not include any e-posters, therefore, there is no need to upload posters online.

Poster Printing Service

If you wish to order printing of your poster abstract, please provide us with your abstract number, the type of poster (based on the options below) and a PDF document including your completed poster at kigali@icmregionals.org. We will make a bulk order and the printed poster will be available at the registration desk for your pickup. The deadline for ordering a printing service is Friday, 13 September 2024.

  • Printing poster recommended A0 size full colour – poster paper – $ 30.00
  • Printing poster A0 – PVC Banner – $ 18.00

Poster Dimensions

If you choose to print your poster and bring it with you, please keep in mind the following dimensions and instructions:

  • A0 format is the most suitable format (width 841 mm, height 1189 mm), portrait orientation.
  • We cannot accommodate landscape posters and those that are larger than 900 mm x 1200 mm.

Tips for preparing a poster

Content

Presenting authors are entirely responsible for the poster content. Use a short descriptive title, full names of contributing authors, and their affiliations.

Language

English & French are the official languages of the conference, and your poster should be in one of these languages.

Make your message clear

Highlight your AIM and CONCLUSION using bold and/or coloured fonts.

Be brief

Use bullet points and only the most relevant text. 200-300 words are more than enough for the main text.

Pictures and graphics

Particular attention should be paid to the resolution of pictures. As a rule of thumb, use at least 300 dpi resolution. Make use of colour and graphics. Use pictures, illustrations or graphics to graphically communicate your study results.

Less is more

Posters with too much text, or too small a font, are hard to read. Communicate your message in different ways (graphs, illustrations) and keep your text to a minimum. Provide a link or QR code where delegates who are interested can read more.

Poster Mounting

The poster area will be in the Conference Foyer and will be open for poster mounting on Tuesday, 24 September 2024, from 8:00-10:00. If you are not available at this time, please email kigali@icmregionals.org to make alternate plans.

Each poster will be placed on one side of the board, and each will be given its unique number. Please make sure to mount your poster on the poster board with the number corresponding to the number assigned to your poster.

Suitable fixing material will be provided by the organisers. If the posters are made of a different material than paper (e.g. cloth), we cannot guarantee that the posters will be able to stay in place.

Poster Presentations

Posters will hang in the poster presentation area on 24 and 25 September. Presenting authors are encouraged to be present during the lunch breaks to answer delegates’ questions about their posters.

Poster Removal

Please remove your poster on Wednesday, 25 September 2024, from 16:00 until 18:30.

The conference organisers are not responsible for any loss or damage to posters that are not removed by the specified time. Posters left behind after this time will be disposed of.
